dehahygiena s.r.o. (hereinafter “dehahygiena”, “we” or “the operator”) is committed to protecting the personal data of its clients and website visitors. We process personal data transparently, securely and exclusively in accordance with applicable legal regulations, in particular the General Data Protection Regulation (GDPR).

This document explains what personal data we process, for what purposes, and what rights you have in connection with such processing.

Personal data is processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR).


3. Where we obtain personal data from

We obtain personal data primarily:

  • directly from you during your visit to the clinic or by phone,
  • through the online booking system (xdent),
  • through e-mail communication,
  • when you use our website,
  • on the basis of consents you have given (e.g. marketing communication or photographs).

We do not obtain personal data from external databases or third parties without your knowledge.


4. What personal data we process

We process only the personal data necessary for providing dental hygiene services, communicating with clients and fulfilling legal obligations.

4.1 Client data

  • first name and surname,
  • contact details (e-mail, phone),
  • data needed for appointment booking and treatment records,
  • billing details,
  • health data related to dental hygiene (e.g. gum condition or medical history), only to the extent necessary.

4.2 Technical data from the website

  • IP address,
  • cookies and similar technologies,
  • data on website behaviour,
  • anonymised website traffic statistics.

5. Why we process personal data

5.1 Provision of health and hygiene services

  • handling bookings and treatments,
  • communication with clients before and after treatment,
  • keeping records of treatments provided,
  • customer care and appointment reminders.

5.2 Compliance with legal obligations

  • accounting and tax records,
  • archiving of documents,
  • fulfilling obligations arising from legal regulations, including keeping medical records.

5.3 Legitimate interest

  • improving the quality of the services we provide,
  • operating and securing the website,
  • internal administrative purposes.

5.4 Marketing communication

Based on your consent, we may use your contact details to send you news, information about services and special offers of dehahygiena. Consent can be withdrawn at any time in accordance with Section 11.

5.5 Processing based on consent

Based on your explicit consent, we may:

  • send newsletters and oral hygiene tips,
  • take and publish photographs (e.g. from the clinic, events or case studies),
  • carry out marketing communication on social media.

Consent is voluntary and can be withdrawn at any time.


6. Processors and third parties

Personal data is made available only to entities that help us operate our services and are contractually bound to comply with personal data protection requirements.

Typical categories of processors:

  • web hosting provider,
  • operator of the booking system (xdent),
  • e-mail service provider,
  • provider of analytics tools (e.g. Google Analytics),
  • accounting firm,
  • invoicing system provider.

7. Transfer of personal data outside the EU

When using certain tools (e.g. Google Analytics), personal data may be transferred to third countries, in particular the USA. These transfers are safeguarded through valid data protection mechanisms, in particular the EU–US Data Privacy Framework.


8. How long we keep your data

  • client and treatment data: for the duration of the contractual relationship and 5 years thereafter,
  • medical records: in accordance with applicable legal regulations,
  • accounting documents: 10 years,
  • marketing data: until consent is withdrawn or you unsubscribe,
  • cookies: according to your browser settings.

We do not keep personal data longer than necessary.


9. Cookies

The dehahygiena website uses:

  • essential cookies (necessary for the proper functioning of the website),
  • analytics cookies (based on consent),
  • marketing cookies (based on consent).

10. Your rights

You have the right:

  • to access your personal data,
  • to have your data rectified or completed,
  • to erasure of personal data (“right to be forgotten”),
  • to restriction of processing,
  • to object to processing,
  • to data portability,
  • to withdraw consent at any time,
  • to lodge a complaint with the Office for Personal Data Protection (www.uoou.cz).

11. How to withdraw your consent

Consent can be withdrawn:

  • by e-mail to info@dehahygiena.cz,
  • by clicking the unsubscribe link in the newsletter,
  • by adjusting the cookie settings on the de-ha.cz website.

Withdrawal of consent does not affect the lawfulness of processing carried out before its withdrawal.


12. Security of personal data

We protect personal data using appropriate technical and organisational measures, in particular:

  • encrypted data transmission (HTTPS),
  • restricted access rights,
  • regular system updates,
  • contractual safeguards with processors.
